The HR & Administration Assistant will be part of our small, empathetic, and hardworking team, supporting the consultancy work through providing support to the operational management.

Role and responsibilities


  • Maintenance of applicant and expert rosters databases (TTailor, Dev Aid, etc.)
  • Supporting recruitment activities (drafting job requirements, tagging profiles, notifying groups, scheduling meetings)
  • Support the onboarding of external experts (welcome email)
  • Drafting personnel documents and database management
  • Maintaining Associate Agreements and Assignment management folders
  • Liaising with the Finance team for the drafting of purchase orders
  • Maintain access and reporting in Clockify and Team Load
  • Conduct various administrative reporting and calculations, e.g. maintaining the emissions calculations spreadsheet
  • Conducting the assignment closing tasks: Letters of Performance, Client feedback requests, external surveys, etc
  • Support travel management in line with the agreed procedures (check & save the pre-travel checklists & email post-country travel information requests)
  • Saving GDPR & SATT reports & feedback on reports
  • Support update and maintenance of employee handbook
  • Support marketing planning and events coordination activities
  • Other administrative activities


Requirements

Essential


  • Minimum high school education
  • Keen interest and proven experience in administration (minimum 2 years)
  • Strong eye for detail
  • Punctuality as a key value
  • Strong verbal and written communication skills
  • Strong organizational skills
Desirable
  • Interest in learning or working knowledge and experience in management software, database management, and communication tools
  • Readiness to learn
